Invoice on hold.
Find the PO.

When accounts payable needs a purchase order, find who can supply it and get the invoice back into the approval queue with a clear record.

The short answer

Ask accounts payable which purchase-order or supplier detail is missing and who must provide it. Coordinate with the client’s project owner, resubmit through the required route and ask the recipient to confirm the new processing status.

Get the exact requirement from accounts payable.

Ask whether the invoice was rejected, is waiting for approval or was never received. Request the missing field and submission route. A generic “need a PO” response may still leave the invoice owner unclear.

Keep the invoice number, amount and original submission date available. Check the agreement and ordering correspondence for an existing purchase-order reference before asking the client to create or locate one.

Connect the project owner with the billing requirement.

The person who bought the work may need to supply the reference or complete an internal approval. Send them the exact accounts-payable requirement and ask who owns it. Avoid changing the customer’s order information without confirmation.

If the client uses a supplier portal, confirm the correct invoice upload route and whether a corrected copy should retain the original reference. Use the business’s own invoice-control process to prevent duplicate submissions.

Ask for the reference and the next processing step.

Keep the client’s project contact and billing team aligned. State what was submitted and what is missing. Ask for confirmation when the corrected invoice reaches the approval queue.

Hi [name], accounts payable has held invoice [number] for [amount] because [exact missing detail]. Could you provide the correct purchase-order reference or connect me with its owner? Once supplied, please confirm the required submission route and whether anything else is needed for payment approval.

A successful upload is not a payment date.

After resubmission, keep the receipt or portal reference. Ask whether the invoice is now accepted, what approval remains and when payment is expected. Record any change to the client’s processing date without silently rewriting the original agreement.

If another requirement appears, add it to the same record and resolve it with the responsible person. Once payment arrives, match it to the invoice through your existing bookkeeping process and close the follow-up.

A few things
before you act.

Can I make up a PO number to submit the invoice?

No. Ask the client for the correct reference and follow its ordering and approval process.

Does resubmitting mean the invoice is approved?

Not necessarily. Ask for acceptance status, remaining approval steps and the expected payment date.

What can Huck handle?

Huck can find overdue invoices and draft or send approved follow-ups. This page does not claim Huck can create a client’s purchase order or operate every supplier portal.
