Cancel Calendly.
Or stop paying for empty seats.

Calendly charges for every seat, filled or not, and a downgrade only lands at the end of the billing cycle. Huck finds your Calendly receipts in Gmail, tells you how many seats you pay for and when the next charge lands, and makes the change when you say yes.

The short answer

To cancel Calendly, an owner or admin goes to Settings, then Billing, selects Change plan, then Upgrade/Downgrade, and picks the Free plan. The switch happens at the end of the current billing cycle, and you keep paid features until then. To pay less without cancelling, remove unused seats in the same place: you pay for every seat whether it is filled or not, and removed seats also drop at the end of the cycle. Calendly’s terms say fees are non-refundable, so make the change before the renewal date.

Switch to the Free plan to stop paying.

Calendly has no separate cancel button. You cancel a paid plan by moving the organization to Free, which keeps your account and lets you still schedule meetings. Every user in an organization has to be on the same plan.

  1. Check the next bill date. Go to Settings, then Billing. The change you make applies at the end of this cycle.
  2. Select Change plan, then Upgrade/Downgrade. You need to be an owner or admin.
  3. Pick the Free plan and confirm. You keep paid features until the cycle ends. You won’t be billed again.
  4. Changed your mind? Click the banner on the Billing page to cancel the downgrade before it lands.
  5. On a free trial? New accounts start on a two-week Teams Plus trial and move to Free on their own. Calendly says to contact its billing team to cancel a trial.

You pay for every seat, filled or not.

Calendly bills by seat, not by active user. Ten seats with six users is still ten seats on the invoice. Added seats and upgrades take effect right away, while removed seats and downgrades start at the end of the current billing cycle.

To cut seats, an owner or admin goes to Settings, then Billing, Change plan, Upgrade/Downgrade, and lowers the seat count during that step.

If you need to move from yearly to monthly billing, Calendly says to contact its billing team. Switching from monthly to yearly is a button on the Billing page.

Cancelling keeps the account. Deleting removes it and its bookings.

Moving to Free keeps your account and you can still schedule meetings, but paid features turn off at the end of the cycle. Calendly says you can reverse it any time by upgrading again.

Deleting the account, from Settings, then Profile, then Delete Account, is permanent and removes all your data. If the organization owner deletes their account, booked meetings from their event types, including ones others on the team scheduled, may be removed from Calendly’s Calendar page and can’t be recovered there, though they may still show as Canceled on connected calendars. Transfer ownership first if the team keeps using Calendly.

Calendly fees are non-refundable.

Calendly’s Customer Terms and Conditions, effective August 5, 2026, say all fees are non-cancellable and non-refundable, and that cancelling does not entitle you to a refund or credit. Its help center adds that its support team may review special cases.

The same terms say plans renew automatically for the same term length and may renew with a price increase of the Consumer Price Index plus 3% unless Calendly tells you a different rate first. Customers billed by invoice or on Enterprise must give 30 days’ written notice before the term ends to change the plan, cut seats or end the service.

Our Calendly organization [organization name] renewed on [date] for [amount]. We moved to the Free plan on [date] and did not use the paid features after renewal. Please review this as a special case and refund or credit the renewal. Please reply by email with the decision.

Huck counts the seats and makes the change before the renewal.

Huck finds Calendly receipts in your Gmail and texts you what you pay, how many seats that covers and when the next charge lands, so a seat cut or a move to Free happens before the renewal rather than after it.

When you say yes, Huck removes seats or moves the plan to Free in Calendly’s billing settings, or sends the notice or special-case request to Calendly from your Gmail, then checks the next receipt. You handle the Calendly sign-in and any account deletion. Calendly decides any refund.

We do the chasing.

Huck finds the money slipping out of your business, shows you what each charge is worth, and does the chasing when you say so. Cancellations, refund requests and vendor negotiations follow through to a result you can check.
