How do I cancel
FreshBooks?

FreshBooks hides the cancel link at the bottom of the Billing and Upgrade page, works only in a web browser, and keeps billing for team member seats until you remove them. Huck finds your FreshBooks receipts in Gmail, tells you what you pay and when it renews, and makes the change when you say yes.

The short answer

To cancel FreshBooks, the business owner opens FreshBooks in a web browser, selects the profile picture or initials in the top right corner, chooses Billing and Upgrade, then selects the cancel your account link at the bottom, leaves a comment and confirms. Save any data you need and disconnect active bank connections first; the account will remain active and accessible until the end of your billing cycle. If you’re on a Select plan or don’t see the option to cancel, contact FreshBooks Support, and if you pay through Apple Subscriptions or Google Play Subscriptions, cancel with Apple or Google instead. FreshBooks’ terms say subscription fees are non-refundable, and refunds or charge disputes limited to 3 months of fees must be requested through Support within 90 days, with a grace period of 5 business days / 7 calendar days for recent payments. New purchases through Buy Now & Save are the exception: FreshBooks gives a full refund of the subscription fee if you contact it within 30 days of purchase. Cancelling is not deleting: accounts inactive for 30 days or more may be deactivated and deleted, and you can ask for your personal information to be erased at privacy@freshbooks.com.

The cancel link sits at the bottom of Billing and Upgrade.

FreshBooks lets the business owner cancel Lite, Plus and Premium plans from a web browser. The account stays active and accessible until the end of the billing cycle, and FreshBooks sends one email confirming the request with your last day of access and a final email on the day the cancellation takes effect.

Select plan customers, and anyone who does not see a cancel option, contact FreshBooks Support instead. If you pay through Apple Subscriptions or Google Play Subscriptions, Apple or Google handles the billing and you cancel there.

  1. Save the data you need. You keep access until the end of the billing cycle, but recurring templates, retainers and team member logins stop when the cancellation takes effect.
  2. Disconnect active bank connections. In a web browser, disconnect any bank connections so transactions and expenses stop importing through Plaid or Yodlee.
  3. Select your profile picture or initials, top right. Use a web browser. FreshBooks says subscription changes are done there, not in the app.
  4. Select Billing and Upgrade. If you see a notice that you upgraded from your iPhone, iPad or Android device, you are billed by Apple or Google. Cancel in that account instead.
  5. Select the cancel your account link at the bottom. Leave a comment and confirm. If you use FreshBooks Payroll, review its cancellation terms first.
  6. Watch for the confirmation email. It shows your last day of access. A second email arrives once the cancellation is complete.
FreshBooks: how do I downgrade or cancel my account? ↗

Download invoices, reports and clients before the last day.

FreshBooks says your data stays intact after cancelling and you can reactivate later, but accounts inactive for 30 days or more may be deactivated and deleted. Export what your accountant or tax filing needs while you still have access.

  1. Invoices. In Invoices, check the boxes, select Bulk Actions, then Download PDF for individual PDFs. Export Invoices gives a CSV of active and archived invoices.
  2. Reports. Open each report, select More Actions, then Export for Excel for a CSV, or Print to save a PDF.
  3. Clients, expenses, items and vendors. Each list exports active and archived records as a CSV. Expense receipt images download separately with Export Expense Receipts.
  4. Estimates and proposals. Download PDFs from Estimates. For a CSV, FreshBooks says to send Support the date range and it will email the file.
  5. Payroll. Download the Payroll Journal Report and Contractor Payment Report as CSV files, and tax documents as PDFs.

Removing a team member does not remove the seat.

Paid team member invitations are an add-on, listed at $11 a month per person on FreshBooks’ pricing page. Unassigned team members cost nothing. FreshBooks says that once you delete an assigned team member who is not being replaced, you have to downgrade the account to remove the unused seat from the subscription.

Downgrading mid-cycle creates a prorated credit applied to your next FreshBooks payment. Team members on FreshBooks Payroll can’t be deleted from the Team Members list; contact Support. Deleting a team member also stops any recurring expenses they created.

  1. Remove access. In Team Members, open the person, select Edit under Roles and Permissions, choose Unassigned and save, or delete them with the trash can icon.
  2. Open Billing and Upgrade, then Manage Plan. Use a web browser and your profile picture or initials menu.
  3. Select Manage your plan under the current plan name. Reduce the number of team members or remove add-ons such as Advanced Payments.
  4. Select Review and Pay, then Update or Downgrade. To move from yearly to monthly billing, use the Monthly sub-tab on the same page. Select customers contact Support.

Cancelling keeps your data. Deletion comes later or on request.

FreshBooks’ help center has no separate delete step for a business account. After you cancel, your data is preserved and you can reactivate by logging in at my.freshbooks.com and entering a card. Accounts inactive for 30 days or more may be deactivated and deleted, with an email notice first.

FreshBooks’ Terms of Service, last updated October 7, 2026, say that if an account has been deactivated for 30 days and FreshBooks doesn’t hear from you, it may delete the account and permanently delete or irreversibly anonymize your content without notice. The terms also let FreshBooks keep an archival copy. Its privacy policy gives a right to ask that your personal information be permanently erased; send the request to privacy@freshbooks.com, and you may be asked to verify your identity.

If you only have a free client account, used to view and pay a business’s invoices, FreshBooks says you must first create an invoice, estimate or project to turn it into a regular account, then cancel. You can still open invoices from the email links afterward.

Clients can’t pay invoices once the account closes.

When the cancellation takes effect, FreshBooks deactivates all recurring expenses, recurring templates and retainers, disconnects bank connections and deactivates FreshBooks Payroll powered by Gusto. Team members can no longer log in, and clients can no longer comment on or pay invoices, so collect or redirect open balances first.

If you reactivate later, recurring expenses, recurring templates and retainers that were active have to be restarted, and Payroll needs a call to Support. Once Payroll is cancelled, FreshBooks stops making tax filings and payments and won’t generate year-end forms. Unpaid taxes it collected go back to your bank account within 3-5 business days, and a final usage fee is charged.

FreshBooks: what cancelling deactivates ↗

Refunds are capped at three months of fees, except in the first 30 days of a Buy Now purchase.

FreshBooks’ Terms of Service say subscription fees are non-refundable, that you dispute a charge by written notice within 90 days of the invoice or payment, and that FreshBooks will not refund or credit more than three months’ fees. The terms also say that if you end your use, you pay the fees for the balance of the current billing period. The cancel article says refund requests go to Support within 90 days, with a grace period of 5 business days / 7 calendar days for recent payments.

Monthly and yearly plans both stay active until the end of the billing cycle you paid for. Downgrading in the middle of a billing cycle creates a prorated credit applied to your next FreshBooks payment, not cash back. New purchases through Buy Now & Save carry a 30-day money-back promise on the subscription fee: contact FreshBooks within 30 days of purchase for a full refund.

On Payroll, a final usage fee lands on the monthly receipt at the start of the month, or on a final monthly usage receipt on the second day of the month for yearly plans. Apple and Google subscriptions follow Apple’s or Google Play’s terms.

Huck catches the renewal and closes the account.

Huck finds FreshBooks receipts and renewal notices in your Gmail and texts you what you pay, which plan, team member seats and add-ons that covers, and when it renews, so you can export and cancel before the next charge. Charges can show as FreshBooks or by the company’s original name, 2nd Site Inc.

When you say yes, Huck removes unused team member seats or cancels from Billing and Upgrade, then checks for the confirmation email and the next bill. You handle the FreshBooks sign-in. If a recent charge needs a refund, Huck drafts the request to FreshBooks Support from your Gmail for your yes, inside the 90-day window. FreshBooks decides any refund. On Apple or Google billing, or a Select plan, Huck tells you where the cancellation has to happen.
