Cancel ChatGPT Business.
Before the next seat charge.
ChatGPT Business bills every seat at the start of each cycle, used or not. Huck finds your OpenAI receipts in Gmail, tells you the seat count and the next billing date, and cancels or cuts seats when you say yes.
Connect Gmail to get started. You approve each money action.
The workspace owner cancels it. Sign in to ChatGPT, open your account menu, choose Workspace settings, then Billing, Manage plan and Cancel subscription. Do it at least 24 hours before your next billing date, or the next charge may go through. Paid features stay on until the end of the current billing period. OpenAI says unused seats are generally not refunded, so if you want to keep the workspace, schedule a seat reduction instead: it takes effect at the start of the next billing cycle.

Cancel from Workspace settings, at least a day before renewal.
OpenAI’s help article on cancelling, read October 26, 2026, covers self-serve ChatGPT Business and says to cancel through the workspace billing settings. If you don’t see billing settings, you are not the owner: ask the workspace owner. Deleting the app does not cancel anything.
- Sign in to ChatGPT as the workspace owner. Only the owner can view billing or cancel the plan.
- Open your account menu and select Workspace settings. In some workspaces this opens Admin Console instead. Select your Business workspace, then Billing.
- Select Billing, then Manage plan. Check the next invoice date and amount and the seat count while you are there.
- Select Cancel subscription and confirm. Do it at least 24 hours before the next billing date. OpenAI says a cancellation less than 24 hours before may not stop that charge.
- Check the plan no longer renews. Billing should show the plan ending at the close of the current period. Keep the confirmation.
Locked out of the owner’s email? OpenAI Support can help cancel if you give the email on the account or the billing email plus two billing details, such as the card’s last four digits and the date of the last charge. Never send the full card number.
OpenAI: canceling your ChatGPT subscription ↗Keeping ChatGPT? Remove the seats you don’t use.
OpenAI charges for every Standard and Premium seat at the start of each billing cycle, whether or not anyone is assigned to it. Removing a person from the workspace frees their seat but does not lower the bill. You have to schedule a seat reduction, and it takes effect at the start of the next billing cycle, not immediately.
- Go to Workspace settings, then Members, then Users. Unassign anyone who no longer needs a seat. You can’t reduce below the number of occupied seats.
- Select Manage seats and lower the count. The reduction is scheduled for the next billing cycle and shows in the Billing tab once confirmed.
- Move Premium users to Standard if they don’t need the extra usage. A downgrade waits until renewal if no Standard seat is free. Then schedule removal of the spare Premium seat.
| Seat | Monthly plan | Annual plan |
|---|---|---|
| Standard | $25 a user a month | $20 a user a month, billed annually |
| Premium | $125 a user a month | $100 a user a month, billed annually |
Every workspace needs at least 2 paid seats, in any mix of Standard and Premium.
OpenAI: managing billing and seats in ChatGPT Business ↗Don’t expect money back for seats you already paid for.
OpenAI says unused seats in a self-serve Business workspace are generally non-refundable for the billing period you committed to, except where the law or an approved exception applies. Cancelling stops future renewals; it does not refund past charges.
Support can review a verified seat-count error, a mistaken annual renewal or an accidental workspace deactivation, but OpenAI says these don’t automatically qualify for a refund. Ask through the Help Center chat with your account email, workspace name or ID, invoice number, charge date and amount, and the reason. In the EU, UK and Turkey, OpenAI says you can get a prorated refund if you cancel within 14 days of purchase.
Our ChatGPT Business workspace [name or ID] was charged [amount] on [date], invoice [number]. [We were billed for N seats we had scheduled for removal / the annual plan renewed by mistake]. The workspace goes dark, but the data isn’t deleted.
Cancellation normally takes effect at the end of the current billing period, and the workspace can then be deactivated. OpenAI says deactivation does not delete the workspace’s data, but members can’t reach it while it is deactivated. Only the workspace owner can reactivate it, by buying a subscription again or paying what is owed.
Starting a new Business workspace later does not bring the old one back: it starts empty and does not merge with the old workspace. Members can keep using a personal ChatGPT account if they have one.
OpenAI: workspace deactivation and reactivation ↗Huck counts the seats and times the cancellation.
Huck finds OpenAI receipts for ChatGPT Business in your Gmail and texts you the seat count, what each cycle costs and the next billing date, so a cancellation or seat reduction lands before the next charge.
When you say yes, Huck cancels the plan or schedules the seat reduction in OpenAI’s billing settings, then checks the next receipt for the lower charge. Only a workspace owner can make those changes, so Huck works with the owner’s access. OpenAI decides any refund.
