Cancel Xero.
A paid plan bills one more month.
Xero bills a paid plan for a full month after you cancel, and once that month ends the organization’s books are locked away until you pay again. Huck finds your Xero invoices in Gmail, tells you when the notice month would end and what it costs, and starts the cancellation when you say yes.
Connect Gmail to get started. You approve each money action.
To cancel a paid Xero plan, the organization’s subscriber clicks the organization name, selects Subscription and billing, clicks Cancel subscription, picks a reason and clicks Confirm cancellation. A one-month notice period starts, and Xero keeps billing you up to and including the last day, even if you don’t use it. Xero’s US terms say no refund is due when you cancel. A free trial cancels immediately from My Xero, then the Subscriptions tab. After the notice month, the organization is archived and nobody can open it unless the subscriber reactivates and pays, so export your records during the notice month.

The subscriber cancels from Subscription and billing.
Xero cancels one subscription at a time. Canceling one organization doesn’t affect any others you pay for, and it doesn’t delete your Xero login. A paid plan bought on xero.com has to be canceled in the web version of Xero. If you bought it through the Apple App Store or Google Play, cancel it in the iOS or Android Xero Accounting app instead.
- Confirm you are the subscriber. Click the organization name, then My Xero. On the Home tab, the subscriber is listed in the Subscription column. If it isn’t you, ask that person, or ask them to transfer the subscription to you.
- Click the organization name, then select Subscription and billing. Use the web version of Xero for a plan billed by Xero.
- Click Cancel subscription. Xero shows the final date you’ll be billed. Pick a reason for canceling.
- Click Confirm cancellation. The one-month notice period starts. You and your team can still use the organization until it ends.
- Changed your mind? Any time in the notice month, go back to Subscription and billing, click Stop Cancellation, then Yes, stop cancellation.
Xero says to pause, you cancel and reactivate later. The one-month notice still applies, and you’re billed during it.
Xero Central: cancel your Xero subscription ↗A trial cancels right away. A one-month-free offer runs to its end.
A free trial has no notice period. To cancel it, click the organization name, select My Xero, open the Subscriptions tab, click the menu icon next to the organization, select Cancel subscription, pick a reason and click Confirm cancellation.
Xero’s US offer details say a free trial expires after 30 days, and Xero’s terms say a trial is billed only once you pick a plan and add billing details. The US one-month-free offer is different: it’s a paid plan at no charge for the first month. If you cancel during that month, the subscription ends when the free month ends, and Xero says changes in that month are free of charge.
Xero US offer details ↗If your accountant pays for Xero, they cancel it.
Many small businesses have an accountant or bookkeeper as the subscriber, or have the subscription on the advisor’s practice billing account. In that case you can’t cancel it yourself. Ask the advisor to cancel, or to transfer the subscription to you first. Xero says only the current subscriber can transfer it, from Subscription and billing, then Request transfer.
On the practice side, anyone with the master administrator role or access to the practice’s billing account can cancel a client’s subscription from My Xero, the Subscriptions tab, the menu icon next to the organization, then Cancel subscription. The same one-month notice applies, and the practice is charged until it ends.
Xero Central: cancel a client’s subscription ↗No read-only plan. After the notice month, the books are locked.
Xero has no read-only plan. During the notice month, all users keep full access, and Xero recommends exporting your data then. After it ends, Xero archives the organization, and its US FAQ says archived data can’t be accessed by anyone. The organization stays in your list and can’t be removed from it.
Xero’s US FAQ says you can get the data back for up to seven years by reactivating, unless you ask for it to be deleted. Its US data processing terms also say 7 years. Only the subscriber can reactivate, from My Xero, the Subscriptions tab, the filter set to All, then Reactivate, and it’s a paid subscription again. For short-term access, Xero suggests reactivating and canceling at once, which gives you one more notice month.
To keep your own copy, Xero recommends exporting the chart of accounts, contacts, invoices, bills and fixed asset list, plus a Balance Sheet and Profit and Loss for each year, the Trial Balance, the Account Transactions report, the Receivable and Payable Invoice Detail reports, and payroll and bank reconciliation reports if you use them. Payroll reports need the approve payroll permission.

No refund on cancellation, and the notice month is billed.
Xero’s US terms of use, last updated October 26, 2026, say you can end your subscription with one month’s notice through your Xero account, that you pay fees up to and including the day it ends, and that no refund is due when you cancel. Subscriptions renew automatically each billing period until you cancel.
Xero Central says the final invoice can fall outside your usual billing date. Its example: billed on the 21st and canceled on July 16, the last invoice covers July 21 to August 15. If you pay in advance and want a cheaper plan instead, you can downgrade after 30 days on a plan, but Xero gives no credit for the rest of the period.
The terms do allow a request for compensation, at Xero’s discretion, after a system-wide outage of more than four hours in a row, if you ask in writing within 21 days.

Huck times the notice month and checks the last invoice.
Huck finds Xero invoices in your Gmail and texts you what the organization costs, when the notice month would end if you cancel today, and which connected apps are still billing alongside it, so you can export your books before the organization is archived.
When you say yes, Huck starts the cancellation in Xero’s Subscription and billing page, or emails your advisor or Xero from your Gmail, then checks that the final invoice stops on the date Xero showed. You handle the Xero sign-in and the data export. Xero decides any refund.

Huck finds the money slipping out of your business, shows you what each charge is worth, and does the chasing when you say so. Cancellations, refund requests and vendor negotiations follow through to a result you can check.
