How do I cancel
QuickBooks Payroll?

QuickBooks Payroll is cancelled separately from QuickBooks Online, takes its final tax debits from your bank when the cancellation is processed, and charges $150.00 if you ask Intuit to prepare year-end filings or W-2s. Huck finds your Intuit payroll receipts in Gmail, tells you what you pay and when it renews, and cancels when you say yes.

The short answer

To cancel QuickBooks Payroll, a Master Administrator or Company Administrator goes to Settings, Subscriptions and billing, selects Cancel in the Payroll section and submits Intuit’s online cancellation form, which Intuit can’t edit once it is sent. Run and process your final payroll and print your payroll reports first. On full-service payroll, leave your bank account open: Intuit pays your outstanding tax liabilities, including annual ones, when it processes the form, and charges $150.00 if you ask it to prepare year-end filings or W-2s. QuickBooks Desktop Payroll cancels in your Intuit Account (Products & Services, Details, Cancel Service) or, for Enhanced, Standard and Basic, inside the company file. Intuit refunds an annual payroll plan in full only within 60 days of sign-up; a monthly plan gets no refund and runs to the next auto-renewal date.

Cancel in Subscriptions and billing, Payroll section.

Intuit’s online payroll for QuickBooks Online is sold as QuickBooks Workforce Payroll, Premium or Elite. Intuit’s cancel article says the Cancel option doesn’t show if you aren’t signed in as the Master Administrator or Company Administrator, or if your accountant bought your QuickBooks Online, in which case the accountant cancels. Intuit emails a confirmation within 3 business days of reviewing the form and again when the cancellation is complete.

  1. Run and process your final payroll. Print or export the payroll reports you need.
  2. If you file your own taxes, settle them. Pay any outstanding tax deposits and file outstanding quarterly or annual forms.
  3. Go to Settings, then Subscriptions and billing. Sign in as the Master Administrator or Company Administrator.
  4. In the Payroll section, select Cancel. Complete Intuit’s online cancellation form. Intuit can’t edit it after you submit it.
  5. Keep the bank account open. On full-service payroll, Intuit debits and pays the remaining tax liabilities, including annual ones, when it processes the form.

Tax payments Intuit already collected can’t be cancelled.

Intuit’s tax payment article says that on full-service QuickBooks Workforce it can’t cancel or delete tax payments it has already collected; you can ask Intuit to refund those tax funds, and you then make any further tax payments and filings yourself. Federal forms 941, 944, 943 and 940 can’t be cancelled once e-filed; Intuit can be asked for a correction or amendment. For a W-2 already filed, Intuit asks you to contact it to see whether it can be cancelled.

On a monthly plan you won’t get a refund if you cancel before the next auto-renewal date, and you keep access until then. You lose direct deposit, e-file and tax form processing.

Intuit says that after cancellation you lose payroll support, payroll updates in QuickBooks Desktop, payroll tax form processing and printing, and related services such as direct deposit, e-file and e-pay. On online payroll you keep access to payroll data for 1 year, so export and save your reports. On Desktop Enhanced, Standard and Basic you keep the data but can’t recreate tax forms, so save copies of every form you created or e-filed.

Intuit’s payroll cancel article covers only the payroll subscription; QuickBooks Online itself is cancelled through a separate Intuit article.

Huck tracks the payroll bill and cancels on your yes.

Huck finds Intuit payroll receipts and renewal emails in your Gmail and texts you what you pay, which plan you are on and when it renews, so a monthly plan doesn’t roll into another period you didn’t want.

With your yes, Huck cancels the payroll subscription in Subscriptions and billing while you handle the sign-in, reminds you to run the final payroll and keep the bank account open, then checks your next statements for a payroll charge that shouldn’t be there. Huck does not run payroll or file taxes, and Intuit decides any refund.
